Kaltura Media Storage Policy

Kaltura's media storage policy dictates that videos and audio recordings uploaded to or recorded within Kaltura that have not been accessed for playback within the last four years will be removed from Kaltura.

 

Two-Stage Removal Process

Kaltura media storage uses a two-stage process for removing unused media content. If the media in question has not been played or viewed in a two-year period the Playback Formatting will be removed from the video. This will cause the video to not load within Canvas or My Media.

 

After a total of four years, or two years after the removal of the Playback Formatting, and the media has not been viewed or recovered, the media content will be completely deleted from Kaltura’s servers.

 

This means any videos not played within the last two years will be slated for partial removal, then in four years will be slated for full removal. These media removals will occur on an ongoing, daily basis so that a video last played on July 3, 2022 will not be able to play in Canvas on July 3, 2024, and will be full deleted on July 3, 2026.

 

How do I know?

You will receive automated courtesy notifications listing the title and ID of media items that are slated for removal one week before those items are removed from the Kaltura system. Each email will link you to our instructions on How to download Kaltura media items that you already own. At the very bottom of the email will be a list for Execute for entries that include the media slated for removal, showing their Video Title in your MyMedia followed by their EntryID.

 

How do I avoid losing my media items?

We encourage instructors to download any videos or audio recordings they wish to keep to a remote storage device before their media items' slated removal date. Note that if a video or audio recording has been played at all over the past four years—even for two seconds—it will be retained.

 

If it has been between two and four years and you find your video still exists, but you are unable to play the content, please reach out to FSU ODL Technical Support Team for assistance if you wish to recover and save the video.
